Event Status Lifecycle
Understand how events move from draft to active, completed, and archived.
Every event in Signplanr follows a four-stage lifecycle. Understanding each stage helps you control when contractors can see work and when an event is considered finished.
Status flow
Events move through statuses in this order:
Draft → Active → Completed → Archived
You advance an event by changing its status from the event page. The only reversal allowed is reopening a completed event back to active.
What each status means
Draft
The event is being set up. Contractors cannot see it. Use this stage to add signs, upload maps, configure settings, and invite contractors. Nothing is visible to the field team until you activate.
Active
The event is live. Contractors with access can view their assigned signs, upload photos, and update statuses. This is the working state where installation happens.
Completed
All work is finished. Marking an event as completed signals to your team and contractors that no further action is needed. Contractors can still view the event in read-only mode.
Archived
The event is stored for records but hidden from day-to-day views. Archived events no longer appear in the default event list. Use this for events you're done with but want to keep for reference.
Changing an event's status
- Open the event you want to update.
- Click the Status badge or go to Event Settings.
- Select the next status from the available options.
- Confirm the change.
You can reopen a completed event back to active if additional work is needed. Archived events cannot be reopened — archive only when you are certain the event is finished.
Choosing the right time to transition
