Linking Event Documents to Signs

Attach an existing event-level reference document to one or more signs without re-uploading.

When the same reference document applies to many signs — a generic install guide, an emergency contact sheet, a brand colour standard — you don't have to upload it again for each sign. Upload it once at the event level, then link it to whichever signs need it.

Linking is purely a back-office shortcut. Contractors see linked documents on the sign exactly the same way they see uploaded ones.

Why link instead of re-upload?

  • No extra storage. The file lives once in the event's bucket. Linking it to 50 signs costs nothing extra.
  • One source of truth. Rename or recategorise the document on the event documents page and the change flows through to every linked sign automatically.
  • Cleaner deletion. When the project ends and you delete the master document, every link disappears with it — no leftover orphan copies on individual signs.

Linking documents to a sign

  1. Open the sign you want to add the document to.
  2. Scroll to Reference Documents and click Add.
  3. Switch to the Link existing tab.
  4. The dialog lists every event-level document for the event. Use the search box and category filter to find what you need.
  5. Tick the documents you want to attach. Already-linked documents are pre-checked and disabled.
  6. Watch the footer — it shows how many documents the sign will have after linking, against the per-sign limit. If you'd exceed the limit, the Link button is disabled.
  7. Click Link.

You can link multiple documents in one go.

Linking documents to many signs at once

To attach the same reference documents to a batch of signs without opening each one, select the signs on the signs list and click Attach docs in the bulk action bar. The dialog has two tabs:

  • Attach existing — pick from event-level documents already uploaded and link them to every selected sign in one action. Zero new storage cost — the underlying files stay shared.
  • Upload new — upload a file once (it lands on the event documents page with the category you choose, defaulting to Other) and link it to every selected sign in the same step.

Per-sign document limits still apply: any sign that would exceed its cap is skipped and the toast reports how many. Already-linked documents are silently ignored — re-running the action is safe.

Removing a link

In the sign's document list, linked documents have a Linked badge. To remove the link, click the Unlink icon (not the red trash icon).

Removing a link only detaches the document from this sign. It stays on the event documents page and on any other signs it is linked to. To delete the document everywhere, delete it from the event documents page — you'll be told how many signs are affected before you confirm.

Editing a linked document

You can't rename or recategorise a document from the sign detail page when it's linked from the event level — the source on the event documents page is authoritative. Open the Reference Documents tab on the event, edit the document there, and the new name or category appears on every linked sign.

What contractors see

Contractors see one combined list of reference documents on each sign — no badge, no distinction. They open and download linked documents the same way they open uploaded ones, and the files cache for offline use along with the rest of the sign's data.
