Linking a Customer to a Sign
Control exactly which signs a customer user can see using the sign's Customers card.
Customer users do not see a whole event. They see the individual signs you link them to — which means you can share the ten signs in a client's foyer without exposing the other four hundred on the site.
The Customers card on the sign detail page is where that sharing happens.
Availability
Customer users and the Customers card are part of the customer portal, available on the Business and Enterprise plans. The card appears on both the Design and Install tabs, and it works whether or not the design phase is switched on.
Sharing a sign
- Open the sign.
- Find the Customers card.
- Choose the person from Link customer… and click Link.
They can now see the sign in their app — its details, artwork, photos, comments and history — and can approve or reject the install once it is marked installed.
To take it back, click the × next to their name to unlink. The sign, its photos, comments, history, faces and sign-level documents all disappear from their view immediately.
Only the people invited to this event as customers appear in the list. Customer users and contractors are kept apart: customers never show up in Assigned Contractors, and contractors never show up here.
The gotcha: Requestor is a label, not a permission
This is the single most common support question about the portal.
Setting a sign's Requestor on its own historically granted no access at all. It was a label recording who asked for the sign. People filled it in, assumed the client could now see the sign, and were surprised when the client could not.
Two things fixed that:
- Naming a customer as the Requestor now links them too. When you set the Requestor to someone who is an active customer user on that event, they are linked to the sign automatically.
- The sign tells you when nobody is linked. If a sign in the design phase has no linked customer, an amber warning appears on the Design card: "No customer user is linked to this sign — nobody will see it in the customer app."
The automatic link only fires for customer users on that event. Naming an organisation member as Requestor links nobody — members already see everything. If the person named is not on the event as a customer, the sign stays private and the Customers card is still the way to share it.
Some more behaviour worth knowing:
- Linking is additive. Changing the Requestor links the new person and keeps the old one. Removing access is always an explicit unlink.
- It is idempotent — you never get duplicate links.
- Re-saving the Edit request dialog repairs an older sign whose requestor was set before this behaviour existed, even if you change nothing.
- A customer who requested a sign themselves is linked automatically.
Checking who can see what
Open the sign and read the Customers (n) heading — that count is the definitive answer. Its empty state spells the rule out: "No customers linked. Linked customers can see this sign, review artwork and sign off the install from their app."
