Reviewing Sign Requests
Accept, query or reject a customer's sign request, then take it through artwork review to print.
When a customer user raises a sign request it becomes a real sign in your event straight away, at design status Requested, with their brief, measurements and location photo attached. Everything you do with it from there happens on the sign's Design tab.
Availability
Sign requests and design review are part of the customer portal, available on the Business and Enterprise plans, and need the event's design phase switched on.
Finding new requests
- The Signs list has a Design column and a design-status filter — filter to Requested to see what has come in.
- If you have set up sign request notifications, the people you chose are emailed when a customer submits or resubmits.
The three answers to a request
Open the sign, stay on the Design tab, and use the buttons on the Design card:

| Request more info | The sign moves to More info requested. The customer can edit and resubmit. |
| Reject request | The sign moves to Request rejected. The customer can still revise and resubmit, or you can Reopen request yourself. |
Request more info and Reject request both need a note of at least 10 characters. That note is what the customer sees on their screen under From the organiser, so write the thing they need to change.
When a customer resubmits, it updates the same sign and returns it to Requested — you never get a duplicate, and the whole exchange stays on one record.
Through artwork and out to print
- Upload the artwork to the sign (or to each face).
- Click Send for review. The sign moves to Artwork review and lands with the customer. You cannot send for review until artwork exists — the button stays disabled with the tooltip Upload artwork first.
- The customer approves, requests changes, or rejects. Change requests come back with their note; fix the artwork and Send for review again.
- Once they have approved, click Mark ready for print. The design locks.
- Mark sent to print when it goes to the printer.
You can also Approve artwork, Request changes or Reject artwork yourself from the Design card — useful for an internal check, or when the customer has told you over the phone.
Editing the request
Use Edit request on the Request card to correct the brief: sign name, description, requestor, customer, location, location detail, width, height, quantity, material and Attaching to. Changes are recorded in the sign's edit history.
If the Design card shows "No customer user is linked to this sign — nobody will see it in the customer app", your customer cannot review the artwork. Link them from the Customers card first — see Linking a Customer to a Sign.
Backing out of a stage
- Withdraw from review takes a sign out of the customer's queue and back to In design.
- Rework design goes back from Artwork approved to In design.
- Reopen design unlocks a sign that is ready for print.
- Undo sent to print steps back from Sent to print.
The latest note is always shown on the Design card under Latest design note, with who wrote it and when. Only owners and admins can move a design forward; everyone else sees the status but no buttons.
