Sign Status Workflow

Understand how signs progress through statuses from pending to approved.

Every sign in Signplanr has a status that tracks where it is in the installation process. The status changes as contractors do their work and organisers review the results.

Status values

| Status | Meaning | |--------|---------| | pending | Sign has been created but work has not started. | | in-progress | A contractor is actively working on this sign. | | installed | The contractor reports the sign is physically installed. | | approved | An organiser has reviewed the installation and approved it. | | rejected | An organiser has reviewed the installation and flagged an issue. |

After a sign is rejected, the contractor can fix the problem and move it back to installed for another review.

How workflow mode affects status changes

Your event's workflow mode controls who can change statuses and which transitions are allowed.

Simple workflow

Contractors update statuses directly. When a contractor marks a sign as installed, it stays installed — there is no organiser approval step. Organisers can still change statuses manually if needed.

Approval workflow

Contractors move signs to installed, then organisers review and set them to approved or rejected. This is the most common mode for events where quality checks matter.

Multi-stage workflow

Signs move through multiple defined stages. Each transition may require a specific role. This mode suits complex events with multiple handoff points between teams.

You set the workflow mode when you create an event, and you can change it later in Event Settings. Changing the mode does not reset existing sign statuses.

Who can change statuses

  • Organisers can set any status on any sign at any time, regardless of workflow mode.
  • Contractors can move signs forward through the workflow. In approval and multi-stage modes, they cannot approve or reject signs.

Tracking status changes

Every status change is recorded in the sign's history. Open a sign and check the History tab to see who changed the status, when, and what it changed from.
