Uploading Installation Photos

Add installation photos to a sign from the organiser portal — useful when a contractor sends you a photo by email or text.

Most installation photos are uploaded by contractors using the contractor app. But sometimes a photo lands in your inbox or messaging app instead — for example, a contractor without the app on hand sends you a snap from their phone. The organiser portal lets you attach those photos to the right sign yourself, so the record stays complete.

When to use this

  • A contractor emailed or texted you photos.
  • You took the photos yourself during a site visit.
  • A photo was missed during installation and needs to be backfilled later.

If your contractor is using the contractor app, ask them to upload there — that flow captures the photo against their account and supports offline uploads. The organiser upload is for the cases where that is not possible.

How to upload

  1. Open the sign from your event's sign list.
  2. Scroll to the Photos card.
  3. Click Add photos.
  4. Select one or more image files. The uploader will work through them one at a time and show progress.

The first photo on a sign automatically becomes the main photo. Subsequent uploads are added as additional angles.

You can pick multiple files at once. If a contractor emails you a batch, save them all to a folder, then select the whole folder's worth in one go.

Supported formats and limits

  • Formats: JPEG, PNG, HEIC, WebP.
  • Per-sign limit: 12 photos total — the same as the contractor app. This count includes any photos the contractor has already uploaded.
  • No file-size cap beyond your organisation's storage allowance.

If you try to upload more than the remaining slots allow, the extras are skipped and you will see a notice telling you how many were not uploaded.

What happens after upload

  • The photo appears in the Photos card immediately, with your name shown as the uploader.
  • Assigned contractors will see the photo when they next open the sign in the contractor app.
  • The photo is included in PDF and CSV exports alongside contractor-uploaded photos.
  • The sign's status is not changed automatically. If the sign is now installed, update the status separately using the status control on the sign.

Approved signs are locked

Once a sign has been approved, you cannot add more photos to it — this protects the audit trail of what was approved. If you genuinely need to add a photo to an approved sign, reopen the approval first, add the photo, then re-approve.

Deleting photos

Owners and admins can delete any photo on a sign from the Photos card. The deleted photo's file is removed from storage and your storage usage is updated.
