Uploading Artwork

Attach artwork files to signs so contractors know what to install.

Artwork is the visual file — a design proof, layout, or photo — that shows the contractor exactly what a finished sign should look like. You upload artwork per sign so each sign has its own reference.

Supported formats and limits

  • Formats: JPEG, PNG, PDF, SVG, WebP.
  • Max file size: 20 MB per file.
  • Limit: One artwork file per sign (or one per face for double-sided signs).

Uploading artwork

  1. Open your event and go to the Signs tab.
  2. Click a sign to open its detail page.
  3. In the Artwork section, click Upload Artwork or drag a file into the drop area.
  4. The file uploads and a preview appears immediately.
  5. Click Save if you made other changes on the same page, or the artwork saves automatically.

Contractors see the artwork when they open the sign in the mobile app, giving them a clear reference for installation.

Viewing artwork

Click the artwork thumbnail on the sign detail page to open a full-size preview. You can zoom and pan on larger files. PDF artwork renders inline so contractors do not need a separate viewer.

Replacing artwork

  1. Open the sign detail page.
  2. In the Artwork section, click Replace.
  3. Select or drag in the new file.

The previous version is not deleted — Signplanr keeps it as part of the artwork version history. The new file becomes the current version that contractors see.

Replacing artwork on many signs at once

To swap the same artwork file onto many signs in one upload, select the signs on the signs list, open the bulk action bar, and choose Replace artwork. The file uploads once and is copied to each selected sign's first face — useful for batches of identical signs. See Bulk Actions on Signs for the full set of bulk operations.

Event-level default artwork

If you have a sign type where every instance uses the same artwork (e.g. a "Sponsor Logo" type where the artwork rarely changes mid-event), you can set a default once per event instead of uploading it on every sign.

  1. Open the event and go to the Sign types sub-page.
  2. Find the sign type and click Set default artwork.
  3. Pick a file (PNG, JPEG, WebP, or PDF — same limits as per-sign artwork).
  4. New signs of this type created from this event will inherit the default automatically.

Replacing or removing the default

Each row exposes Replace and Remove controls once a default is set. Removing or replacing the default does not change signs that already have artwork — those signs hold their own copy.

Pushing the default to existing signs

Click Apply to existing on the row. Signplanr counts every sign of this type in this event that doesn't already have artwork, shows you the number, and on confirm copies the default into each one. Every change writes to the sign's edit history.

Precedence

Per-sign artwork always beats the event-level default. New signs inherit the default at create-time only — the default isn't live-linked, so later changes to the default don't ripple back into existing signs unless you use Apply to existing.

Upload artwork before moving your event to Active so contractors have everything they need on day one.
